Office Manager
NoPalm Ingredients produces fermentation-based yeast oils & fats, made from agri-food waste streams that are perfect substitutes to palm and other vegetable oils in food, cosmetics, and home care products. Our products offer a two-sided solution that reduces both the use of palm oil and food waste.
Founded in 2021, NoPalm Ingredients is on a mission to challenge companies and product manufacturers to implement our local, circular, and sustainable oils as an alternative to palm oil.
By upcycling agri-food side streams into circular yeast oils, we are making a worldwide environmental impact, contributing to a waste-free world, decarbonizing the entire value chain with 90% less greenhouse gas emissions, and limiting the impact on natural habitats as we reduce land-use by 99%.
As Office Manager, you’ll be at the center of NPI’s operations — ensuring everything from office facilities to culture initiatives runs seamlessly. Your responsibilities will span across five core areas:
Office & Facilities Operations
Keep our workspace running smoothly, professional, and welcoming for the whole team.
Ensure compliance with health, safety, and regulatory standards across office and lab areas.
Greet and support key visitors—investors, partners, and stakeholders—with warmth and professionalism.
Develop and refine scalable office policies to support our growth.
People & Culture Partnership
Lead onboarding and relocation experiences for new hires.
Partner with leadership on team engagement and culture-building initiatives.
Run company-wide surveys and feedback loops.
Coordinate recruitment logistics (interview scheduling, postings, and candidate experience).
Finance & Admin Support
Handle invoice processing, payroll coordination, and expense tracking.
Keep HR records and people operations running smoothly.
Collaborate with Finance and Leadership to improve reporting and cost tracking.
Tech & Infrastructure Support
Support hybrid and remote collaboration with reliable office tech.
Coordinate with IT partners to maintain secure, efficient systems.
Anticipate infrastructure needs as we scale.
Event & Project Coordination
Plan and run team events, offsites, and company-wide gatherings.
Support strategic, cross-functional projects that improve how we work.
Manage documentation and compliance for contracts, NDAs, and MTAs.
Manage travel and logistics for teams travelling abroad for work
You’re an experienced and proactive Office Manager who thrives in a fast-paced, ever-evolving environment. You love being the connective tissue of a growing company—balancing structure with flexibility and creating spaces (physical and cultural) where teams can do their best work. You’re equal parts organizer, communicator, and problem-solver.
You take pride in creating smooth processes behind the scenes and have a natural instinct for anticipating what a team or leader might need before they ask. Whether you're managing onboarding, setting up IT systems, or planning a company event, you bring a sense of ownership, attention to detail, and warmth to everything you do. What you bring:
3–5 years of experience in an Office Manager, People Ops, or Operations role—ideally in a dynamic, scaling environment.
Strong organizational and multitasking skills—you can keep multiple plates spinning without dropping the details.
Excellent interpersonal and communication skills, with the ability to engage with colleagues at every level.
Familiarity with modern workplace tools (e.g. Microsoft Teams, Leapsome, Homerun, or similar), and excitement about leveraging tech to boost productivity.
A hands-on mindset—no task is too small or too big if it helps the team thrive.
A strong sense of discretion and professionalism, especially when handling confidential or sensitive information.
Bonus if you also have:
Experience coordinating recruitment or people processes.
Interest in sustainability, biotech, or working with mission-driven teams.
